What are the AI features in ClickMeeting? Does ClickMeeting build its own AI models? Is customer data used to train AI models? Is data stored with AI providers? What are the AI features in ClickMeeting?

These are features that leverage large language models (LLMs) to help users run meetings more effectively and get more value from them – through capabilities such as meeting summaries, audio-to-text transcription, and live translation of meetings into other languages.

Does ClickMeeting build its own AI models?

No. We use ready-made AI solutions provided by external technology partners, such as OpenAI (e.g. for speech-to-text transcription) and DeepL (for chat translation). All providers are required to comply with strict policies regarding data storage prohibition and data usage.

Is customer data used to train AI models?

No. We do not currently train AI models. We have never used – and will never use – customer data to train AI models unless the customer explicitly consents to it, and we require the same commitment from our AI tool providers.

Is data stored with AI providers?

No. Customer data is processed only when an AI feature is actively in use and is not retained by AI providers after processing is complete (zero data retention policy). The data transmitted is limited strictly to what is necessary for the given AI feature to function.

Are AI models hosted on ClickMeeting's infrastructure?

Some models are deployed on servers leased by ClickMeeting in data centers. In certain cases – such as DeepL or the Botsonic tool – ClickMeeting uses integrations with the respective providers.

Do AI features have access to all data on the ClickMeeting Platform?

No. AI features operate in accordance with the applicable permissions and access configuration.

Is AI-generated content always accurate?

No. AI can make mistakes, so results should always be verified before use.

Who owns the data entered into AI tools available on the ClickMeeting Platform?

ClickMeeting customers retain full ownership of their data, regardless of whether it is processed by a large language model (LLM) or not. Any customer-provided data submitted to an AI provider is governed by ClickMeeting’s agreement with that provider. ClickMeeting’s agreements with AI providers prohibit the use of ClickMeeting customer data to train any AI model, or its retention by the model after processing.

Is the user informed when they are interacting with an AI tool?

Yes. We fully uphold the principle of transparency and always inform users when an AI-based feature is being used. This applies both to features available on the ClickMeeting Platform that are visible to customers, and to features and content available on our website.

What standards does ClickMeeting follow when using and deploying AI-based solutions?

When using and deploying AI-based solutions, ClickMeeting draws on applicable legal requirements and recognized security standards. This includes in particular the requirements of Regulation (EU) 2024/1689 – the AI Act (including the risk-based approach, transparency, and appropriate oversight of AI system use), Regulation (EU) 2016/679 (GDPR), Directive (EU) 2022/2522 (NIS 2), the ISO 27001:2022 standard, and OWASP best practices.
